2. Terms of Service

These Terms of Service (“Terms”) govern your use of the CoreTrims Embroidery House online store and any purchase of our products. By browsing the store or placing an order you agree to these Terms.
2.1 Who we are
We are CoreTrims Embroidery House, a Hong Kong based studio offering handmade and made-to-order embroidered products, including custom patches, apparel, hats, tote bags, napkins, keychains, cushions, teddy bears and related items. Contact details are in our Legal Notice.
2.2 Eligibility and accounts
You must be at least 18 years old (or the age of majority in your place of residence, if higher) to place an order. You are responsible for keeping your account details accurate and confidential.
2.3 Products and custom work
- Most items are made to order. Colours on screen may differ slightly from thread and fabric in real life.
- Custom designs: you must own or have permission to use any artwork, logo, name, character or text you send us. By submitting a design you warrant that it does not infringe any third-party copyright, trade mark, publicity or other right.
- We may refuse or cancel an order that appears to copy a protected brand, character, or official logo, or that we reasonably consider unlawful, defamatory or otherwise inappropriate.
- Once we have confirmed a custom design (or started stitching), changes may not be possible, or may incur extra charges and extra production time.
- Product photos on the store, including lifestyle or model images, are for illustration. Stitch density, scale and placement on a finished piece follow the agreed spec or listing description.
2.4 Orders, pricing and payment
An order is an offer to buy. We accept the offer when we send an order confirmation or begin production. We may decline or cancel an order (for example stock, design, pricing or suspected fraud issues) and will refund any amount already paid for that cancelled order.
Prices are as shown at checkout in the currency displayed. Hong Kong does not charge sales tax / VAT / GST on these sales. If your destination country charges import duty, VAT or brokerage, those charges are your responsibility unless we have clearly stated otherwise (for example DDP).
Payment is taken at checkout through the methods we enable (for example Shopify Payments or other gateways).
2.5 Production time
Standard made-to-order production is typically [X–Y] business days after design approval and cleared payment, unless the listing or a custom quote says otherwise. Peak seasons, complex stitch work and large quantities take longer. Production time is separate from shipping time.
2.6 Intellectual property
All store content, product photography, listings, our original embroidery designs, and the CoreTrims / Coretrims name and watermark remain our property or that of our licensors. You may not copy our photos or original designs for commercial use without written permission.
For custom work using your artwork: you keep ownership of your original artwork. We retain the right to photograph the finished piece for our portfolio and shop (with your personal details removed) unless you ask us in writing not to before production.
If you believe an item on our store infringes your intellectual property, email us with proof of rights and the listing URL. We will review promptly.
2.7 Acceptable use
You must not misuse the store, attempt unauthorised access, scrape content at scale, submit false information, or use the store for any unlawful purpose.
2.8 Limitation of liability
To the fullest extent permitted by Hong Kong law, we are not liable for indirect, incidental or consequential loss, loss of profit, or loss arising from delay by carriers or customs. Our total liability for any order is limited to the amount you paid for that order. Nothing in these Terms excludes liability that cannot be excluded by law (including for fraud or personal injury caused by negligence).
2.9 Governing law
These Terms are governed by the laws of the Hong Kong Special Administrative Region. The courts of Hong Kong have exclusive jurisdiction, except that we may seek injunctive relief in any competent court to protect our intellectual property.
2.10 Changes
We may update these Terms from time to time. The version published on the store on the date you place an order applies to that order.
3. Privacy Policy
Paste into Shopify → Privacy policy. This is drafted with Hong Kong’s Personal Data (Privacy) Ordinance (PDPO) in mind. If you sell to the EU/UK/California, add extra GDPR/CCPA language or use a specialist generator and have it reviewed.
3.1 Who controls your data
CoreTrims Embroidery House ([FULL LEGAL NAME]) is the data user for personal data we collect through this store. Contact: [EMAIL], [ADDRESS].
The store is hosted by Shopify. Shopify and its subprocessors process store, checkout and analytics data. Payment processors process payment data. Carriers process shipping data.
3.2 What we collect
- Identity and contact data: name, email, phone, billing and shipping address.
- Order data: products, custom design files and instructions, messages, payment status (we do not store full card numbers).
- Account and communications data if you create an account or contact us.
- Technical data: IP address, device/browser, cookies and similar technologies used by the store, Shopify and any apps we install (for example analytics or ads).
- Marketing preferences if you subscribe to our emails or social channels.
3.3 Why we use it (PDPO purpose)
We collect personal data only for purposes related to operating the shop, including:
- Processing and fulfilling orders, custom design work and after-sales support.
- Payment, fraud prevention and accounting.
- Shipping and customs documentation.
- Responding to enquiries.
- Improving the store and product photos/listings.
- Direct marketing, but only where PDPO rules are met (see below).
Providing name, contact and shipping details is generally necessary to complete a purchase. If you do not provide them we cannot fulfil the order.
3.4 Direct marketing
If we use your personal data for direct marketing (email newsletters, promotions), we will tell you the kinds of data and marketing involved and how to opt out. We will not use your data for direct marketing unless you have not objected, in line with PDPO. You can opt out at any time by using the unsubscribe link or emailing us.
3.5 Sharing
We share personal data only as needed with:
- Shopify and apps installed on the store.
- Payment providers.
- Couriers and customs authorities.
- Professional advisers (accountant, solicitor) under confidentiality.
- Authorities if required by law.
Some recipients are outside Hong Kong (for example Shopify’s infrastructure). We take reasonable steps so that data is used only for the stated purposes.
3.6 Retention
We keep order and customer records for as long as needed to fulfil the order, handle disputes, and meet Hong Kong record-keeping and tax requirements (generally at least 7 years for business records). Design files for completed custom orders may be kept to support reprints you request, unless you ask us to delete them.
3.7 Security
We use Shopify’s hosted environment and reasonable organisational measures. No online transmission is completely secure.
3.8 Your rights under PDPO
You may request access to and correction of your personal data. We may charge a fee not exceeding the amount permitted by law for a data access request. Send requests to [EMAIL]. You may also complain to the Office of the Privacy Commissioner for Personal Data, Hong Kong (pcpd.org.hk).
3.9 Cookies
The store uses cookies and similar tools for checkout, session, analytics and (if enabled) advertising. You can control cookies in your browser; blocking some cookies may stop checkout from working.
3.10 Children
The store is not directed at children. We do not knowingly collect personal data from children.
4. Refund and Return Policy
Paste into Shopify → Return and refund policy. Custom embroidery is normally excluded from “change of mind” returns. Align this text with what you actually do.
4.1 Made-to-order and custom items
Because most of our products are handmade to your specification (size, colours, text, artwork, placement), they are generally not returnable or refundable for change of mind, incorrect size chosen by you, or dislike of an approved design, once production has started or the design has been approved.
Please check spelling, colours, dimensions and mock-ups carefully before you confirm.
4.2 Ready-made / non-custom items (if offered)
If we list a non-personalised ready-made item, you may request a return within [14] days of delivery provided the item is unused, unwashed, in original condition, and you pay return shipping unless the item is faulty. Contact us first for a return authorisation. We will inspect the item before refunding.
4.3 Faulty, damaged or incorrect items
If an item arrives damaged, materially different from the approved design or listing, or with a manufacturing defect:
- Email us within [7] days of delivery with your order number and clear photos of the item and packaging.
- We will repair, remake or refund at our option.
- We cover reasonable return shipping for a verified defect or our error.
Slight variation in handmade stitch work, thread sheen, or fabric dye lot is normal and is not a defect.
4.4 Cancel before production
If you cancel after payment but before we start production or order blanks, we will refund the product price. Payment-processing fees and any design-work fee already earned may be deducted if that was agreed in the quote.
4.5 How refunds are paid
Approved refunds are returned to the original payment method. Processing by the bank or Shopify can take several business days after we issue the refund.
4.6 Sale items
Unless faulty, sale or clearance items marked as final sale cannot be returned.
5. Shipping Policy
Paste into Shopify → Shipping policy. Replace times and rates with your real figures from Shopify Shipping / your courier.
5.1 Where we ship
We ship from Hong Kong to [LIST DESTINATIONS — e.g. Hong Kong, Macau, most international destinations]. Some remote areas or countries under sanction cannot be served.
5.2 Processing vs transit
- Order processing / production: typically [X–Y] business days after payment and design approval.
- Hong Kong local delivery: typically [1–3] business days after dispatch.
- International transit: typically [7–21] business days after dispatch, depending on destination and service. Customs can add delay.
Business days exclude Hong Kong public holidays and Sundays unless we state otherwise.
5.3 Rates and duties
Shipping rates are calculated at checkout. If duties, import VAT or brokerage are charged on arrival, they are payable by the recipient unless the checkout or listing states that duties are included.
5.4 Tracking
When an order is dispatched we send the tracking number to the email on the order, where the service provides tracking.
5.5 Failed delivery and address errors
Please double-check your shipping address. We are not responsible for delay or loss caused by an incomplete or incorrect address you provided. Re-shipment is at your cost.
5.6 Lost or severely delayed parcels
If tracking shows no movement for an abnormal period, contact us. We will open a carrier investigation. Replacement or refund for a confirmed lost parcel is considered after the carrier’s process, except where the loss is due to an address error or unclaimed parcel.
5.7 International notes
Customs forms will describe the goods as embroidered textile / apparel / accessory and declare the transaction value. We cannot mark parcels as “gift” to avoid duty on a paid order.
6. Short checkout / footer wording (optional)

7. Checklist before you publish
- Replace every [BRACKET] with real company data that matches your Business Registration and Shopify Payments account.
- Match production days and shipping days to what you actually quote customers.
- Confirm refund practice for custom vs ready-made items — do not promise what you will not do.
- Add the same contact email/phone in Shopify Admin → Settings → Store details.
- Link all policies in the store footer.
- If you run Meta / Pinterest / email ads, make sure marketing opt-out language matches how you actually send mail.
- Have a Hong Kong solicitor review, especially if you sell into the EU (withdrawal rights) or use customer photos/designs in ads.
